AI Usage Policy

Introduction

The Andalas Obstetrics and Gynecology Journal (AOJ) recognizes the increasing use of Artificial Intelligence (AI) tools in academic writing, editing, and publication management. This policy aims to provide clear guidance for authors, editors, and reviewers on the appropriate and ethical use of AI in all stages of the publication process, ensuring transparency, research integrity, and accountability.

Allow Use of AI Robots

Authors and contributors are allowed to use AI-based tools under responsible and transparent conditions, including for:

  • Grammar, spelling, or stylistic corrections;
  • Generating initial drafts or idea development with substantial human review and editing;
  • Formatting manuscripts according to journal style or managing references;
  • Data visualization or technical assistance, provided human oversight is maintained;
  • Analytical support, when properly documented and verified by the author.

Not Allow Use of AI Robots

The following uses of AI are strictly not permitted:

  • Submitting manuscripts or sections generated entirely by AI without meaningful human intellectual input;
  • Using AI to create deceptive or fabricated data, images, or results;
  • Reproducing others’ works through AI without proper citation or acknowledgment;
  • Relying on AI outputs as sole evidence or factual sources without verification;
  • Failing to disclose the use of AI when it contributed substantially to the work.

Disclosure and Transparency

  • Authors must disclose any significant use of AI tools in their work. Disclosure should appear in the acknowledgments, methodology, or a separate note, for example:

    “Portions of this manuscript were generated using the AI tool [name], and all AI-assisted content was reviewed and edited by the authors.”

  • Editors and reviewers have the right to request clarification if AI use seems substantial or raises integrity concerns.
  • Any use of AI for data analysis or writing assistance should be accompanied by an explanation of how human verification and interpretation were ensured.

Ethical and Quality Standards

  • The use of AI should never replace critical thinking, scientific judgment, or ethical responsibility.
  • Authors remain fully responsible for the accuracy, originality, and validity of all content, including AI-assisted parts.
  • AI must not be used to manipulate results, evade plagiarism detection, or violate research ethics.
  • The final interpretation, conclusion, and decision-making must always be human-driven.

Editorial Oversight

  • Editors of AOJ will review manuscripts to ensure AI use complies with journal ethics and integrity standards.
  • If undisclosed or unethical AI use is detected, the editorial board reserves the right to reject, request revision, or retract the article after publication.
  • AOJ may also request a declaration of AI involvement from authors during submission.

Enforcement and Sanctions

  • Violations of this policy may be treated as breaches of publication ethics.
  • Sanctions may include manuscript rejection, article retraction, or notification to the author’s institution.
  • AOJ will periodically revise this policy in response to technological and ethical developments in AI-assisted research.

Ethical Framework and References

This policy is based on the ethical guidelines and recommendations of the Committee on Publication Ethics (COPE). Authors are expected to adhere to these standards as a condition of submission to the Andalas Obstetrics and Gynecology Journal (AOJ).
